At Queen Elizabeth’s Grammar School our in-house catering service provides healthy, value for money meals made from the freshest, high quality, local produce.
All food and drinks on sale in school form part of a healthy diet and conform with school food standards. A wide range of food is on offer for students at meal times.

Breakfast: 8:00 am– 8:30am

Cereal, toast and hot drinks available.

Break: 10:55am

A range of fresh bakery items are offered such as baguettes, rolls, wraps, sandwiches and baps as well as cold pasta and fresh fruit pots.

Lunch: 12:55pm

Students can choose from: -

  • The main meal - a hot meal and dessert
  • Salad bar – self-service with a range of freshly prepared dishes
  • Jacket potatoes - with hot or cold filling and side salad
  • Pasta bar - hot pasta with a selection of sauces and side salad
  • Snack bar - sandwich, rolls, baguettes, wraps, cold pasta pots, fruit pots and crudités

Cashless Catering at Queen Elizabeth’s Grammar School

What is a cashless system?

At the heart of the cashless system there is a computer controlled by IMPACT-Software. This system can:

  • Recognise each individual student
  • Hold individual cash balances
  • Record cash spent and cash received
  • Record where money is spent
  • What food is purchased daily and the date and time

How are pupils recognised by the system?

Each student will be issued with their own swipe card which, when used, will enter them into the system program and identify them by a number encoded onto a magnetic strip.

How is the card used to obtain a school meal?

After collecting a meal, the card is handed to the cashier who swipes the card through a reader, then returns to the student. 

A display will show the student’s name, picture, form and current credit balance held within the system. 

The selected food items will be entered into the system from an itemised keyboard while the amount spent and the new credit balance will be shown on the display.

How is the money entered into the system?

The money is entered onto the system by cheque made payable to Cater Link Ltd, NOT the school, via the Catering Office, to cover any period – full term, half term, month or week; or a fixed monetary amount of your choice. A post box to receive payments is located on the wall in the school canteen, please write your child’s name and form on the back of the cheque.

What is the suggested cheque value?  We suggest £15.00 - £30.00 is appropriate but it can be for any amount. Unfortunately, cheques returned due to insufficient funds are charged £5.00. This will be deducted from future credit balances.

How will the student be able to check the current credit balance held in the system?
Every time the student spends money in the cafeteria, the till shows the available credit left on the card.

If we pay for a set number of school meals, can it be spent in one day?

No, a daily spend limit of £5.00 will be set for all students and no food above that limit can be purchased.  On request, an individual student limit of your choice can also be set, to include a school dinner and break time snacks.

What if the student does not hold a sufficient credit balance to pay for a school dinner?

No student is refused a school lunch because they have forgotten their card or have insufficient funds. 
The cafeteria will allow a student one meal only and retain their card until a cheque is presented to credit the balance on the card.

What if the student forgets to bring the swipe card to school or the card is lost, do we lose our money?

No, unlike some card systems, no money is lost. The cards issued have no personal information on them and certainly no cash value is held on the card, only an encoded number.

When a card is reported to be lost, a new card with a new number is allocated and the old card is immediately rendered null and void. 

When the new card is used it will identify the student by a new number and show the credit balance held in the system, as with the student’s old card. However, should an old card be found and used, the display will show it as unknown to the system and will reject its use. There is a charge of £3.00 to replace lost or damaged cards.

What is meant by “Dietary Control”?

Should the student have a specific food allergy or be a diagnosed diabetic, this medical information can be coded into the system, preventing foods with allergy ingredients from being served to a particular student, by automatically locking out relevant buttons on the keyboard.

Rewards for healthy eating

Points will be allocated to healthy choices and termly prizes will be given to those who have gained the most healthy eating points.

Will students have problems in using this system?

Some students may find it difficult to control their accounts for the first couple of weeks, but due to the daily spend limit, most learn this important life skill very quickly and will enjoy being in control of their account.

Will we be able to have any information on how the system is being used?

Reports can be obtained from the system giving comprehensive information on all aspects of use for each individual student as well as each day’s service. 

These reports can be for a specific day or between any dates you wish. They will be dated and timed to the minute, and can be obtained from the Catering Department to show:

  • Every item of food served and the total cost of each serving
  • Individual payments made direct to the school by cheque into the system
  • A total overview to show the date, time and location with cost of each purchase value of all manual cheque and current cash balance.
